and then so Robin if I'm looking if I click on purchases in my screen a list of people comes up and if I hover over your name as a host I get two options one is to mute you which I'm not going to do right now but then there's a button for more do you have an option for more next to your name next to my name when I hover on my name I get the mute option but that's all I get and going away all I get is more is clear down at the bottom and I already checked out and I don't find a rename on more you know what happened skip this line I know exactly what's going on between the first time I taught this to the last group of people and today Sam has overridden Atlas systems level students ability to rename the and so we're just being treated like students which right now because we're all in the system so into a cat we could enter the same thing in the chat line and then you absolutely could let me make sure that you have access to the chat which you do so that's a great idea Robin still let me go back to that screen cuz I am curious there's a reason I wanted this information if you can find your chats instead of renaming yourself and put in there are you someone and S you need to schedule an invite students to meetings or are you more a you just need to attend and then your first name and then on a scale and CR250 being today's my first Zoo to five being I should probably teaching this not Rachel what's your level of comfort with zoom and then I can kind of it read. Read my room and look at what you all say in the chat just giving that a chance and I sent it to you privately not to everyone that's my air the number to Cindy it wasn't I when I saw all of them start to stream it on my screen just privately I realized that again my default setting in my settings and show me show you really soon here when I'm meeting starts the only way you can chat is with the host otherwise the first thing that happens is everybody Pops in I love adults just as much as the kids they start having conversations in the chat so I tend to open by default the opening meetings where participants can only chat with me because then I can figure out Tech hiccups and then I need you all just like talk to each other I can do that but I don't hide so I fix that now you all could talk to each other if you want so he were still just texting or chatting with me which is fine all right I don't see any zeros or ones or even choose a 120k that's that's okay it really nobody's nobody's saying one or zero like there's none of that about Zoom which is great news for me so I'm going to close down the chat just keep everybody focused in the front I was kind of joking they're allowed to it's okay and talk about what my what you might do while talking a little bit I'm at you cuz I am going to give you a chance to practice some of these things you might want to make sure you got a spot to take notes because I'm going to go through chunks at a time and then I'm going to give you a little bit of time practice things and see if you can do them on your own and it will do another trunk and at the very end will go Q&A and so if you have questions then you're going to kind of want to be able to come back to him and a pretty techie person and I still take notes on paper like all posted notes or I've Got 5 million different colors of these lovely things always at my right hand so if you've got you're going to have questions grab yourself a place to write those down I'm already recording so if I go too fast I apologize and just recognized that you'll be able to access this late and slow Moe and watch in section over again if you need to okay if I'm showing something in you know how to and want to take a screenshot you have my blessing I'm not I don't have time to show you how to do but if you know how to do it go for it okay don't worry about that we why I asked Robin what kind of a computer he was on I am right now presenting from a windows-based computer so I see all of the amazing things and I have things that Zoom can do if you are experiencing a meeting and or hosting a meeting from a Chromebook and I'm really unfamiliar with any kind apple pie Travis works it's going to look different so some of the things I have screenshotted in hear you either may not have access to in the case of a Chromebook or it might be in a different place but it'll probably have the same name on a difference by so just so you know that's a real thing and I it is something that I've experienced our students figuring out in the last 2 days where is that button why don't ya I do have it it's over this place instead so just denies that you probably this is a good time today to kind of figure out how do you access the things you need to access okay all right so here's Michael hour and a half my hope is that I can show you I can walk you through Zoom settings most of them are preset for you so that was just going to kind of be showing you where they are imma show you how to schedule Zoom meetings and it says where appropriate there because depending on who you are scheduling a meeting with you might be initiating or scheduling that meeting a different place so we'll talk about the differences and I miss you how to activate or join a meeting depend are you scheduled it cuz that doesn't matter I'm we'll talk about some Zoom tools like how do you raise your hands how do you use the chat how do you mute kids in at the end if it's something you want and need to know how to do Sakrete breakout rooms and maybe even give you a chance to experience a breakout room as a student and but those are hopefully the five things that I'm going to try to show you how to do alright so sign in with Google I just spent literally from 8 a.m. to 1:00 right before I came over here in Tech assistance with Tim helping our staff navigate music came up today and I can tell you that a good at least half of what we navigated this morning would have not existed if people had paid this little detail let me show you what that means in case you use Zumba for here's my really kind of a hot mess of a desktop I'm going to go up here notice I have how many tsums open over here close a bunch of them just for fun anime clothes that one too just to show you so you know there's my drive-throughs only things I have on my Chrome bar zoom button up here at the top but you can always just go go to zoom. Us and that's going to take you to the zoom homepage if you've never initiated a zoo set yourself before like created your own Zoom meeting you're not going to automatically be logged in like I am you'll have instead a different front so I'm going to actually log out, just so that you all can see sign out in Zoom not log out whatever when you come over here for the first time do not click that orange button please you don't need to sign up you're actually already signed up Tim did that for you you just need to sign in all right see you in a click that sign in button here's the other thing do not sign in right here I know it's the first thing that pops up and I know you know your email address in your path word skip that scroll right down here to sign in with Google this is the step that totally mess with a bunch of our teachers today so you want to go ahead and click sign in with Google choose your your know how much I don't care and that's going to bring you into your Zoom settings your overall Zoom account once scheduled meetings they will show up in here if you've recorded meetings like under recording starting to show up in here but this is essentially where you can I'm depending on the type of meetings on hold you could originate meetings here and you can always go into access them hear what I want to show you really quickly is it defaults to meetings I believe maybe it defaults to profile can't remember but I'm going to setting straight here and I'm not going to Paisley bore you with I mean I could scroll for quite some time and get to a lot of settings in here that's where they are go back to this slide because what team has done after a slightly Rocky start Monday and Tuesday those of us who representing two groups of over a hundred stew last couple of days we told we worked with our teachers last week to set these up some of them now like the fact that none of you could turn yourselves for example because we had a few issues about on Monday so within those in settings if you scroll through if you take the time to look you can say that you want to have a waiting room you can say you don't want to waiting room you can also just that in the meeting and I'll show you that in a in a little bit later in the settings you can talk about can post video as far as I'm concerned at this point the year is you the host and you only the last thing you need is students sharing their own video with everybody else and just bypassing trust me on that one you can set in MTG settings so I almost always have new participants upon entry selected so that when students or yourselves come in your automatically muted sometimes people don't realize they have ground noise and if they come in without a mute on it can especially for the middle class it can be destructive so I tend to mute people and then I can ask them to give them talk to you a little bit about the private chat there's some settings inside of chat where you all can only chat with me or I can allow you to chat with everybody or I can cut it off and nobody can which is exactly where it is right now mostly because I would just get distracted by the chat in the settings you when you create a meeting you can always assign a co-host I did that on Monday Tuesday with Susie and Gail because they were going to be helping lead with me we need share those responsibilities and then there's some more screen sharing is available no matter what kind of device you are on but I can tell you that on a Chromebook basically the only this you can share is another tab on your computer or different window but if you're on a windows-based computer I could share a different screen a different tab I could share something called a whiteboard I can share with you what my phone right now in case I needed a second camera to maybe like demonstrate something I was doing in Woodshop or whatever it was right but those are only available if the host is on a windows-based car okay I never allow remove participants to resign because if I remove someone I remember the house there was a reason so I don't let them come back there's some things that you can do inside a meeting to connect mess with the settings so just to kind of rewind a little bit in case I went really fast cuz I'm sure I did. I'm looking at my cat keeps attacking me just a reminder the sign in sign up a zoom. Us skip this and go straight to sign in with Google and then pick your accounts and once once you have meetings in there that show up here once you have recordings they will show up right down here all of my recordings from yesterday and if you participate are apart of webinars Atlas Air to zoom and it's always there a little bit in the background moving I'm going to give you a chance right now first break I would keep your camera on your video off I'm going to open up the chat in case you have a question for me while you do this and I'm going to encourage you to take a minute to actually go initiate and start make sure you can access a zoom. Us your nohum Zoom account and just remember those steps I just showed you so 5 minutes ish to go do that and I'll be asking in just a moment for some reactions from you to see how it went oh that's an interesting prompt yeah there's some interesting happening I thought you'd want to see my on a Chromebook it's it okay I've got her meeting open in enzyme zooming with you all as soon as I hit new tab window you can still hear me I can still hear you but that meeting window that I just left default to a window that says Zoom your meat should start in a few seconds and it's just Frozen there another words I cannot back and look at those screens my screens or at again to the email looking and boom there you are again I think you could meet you work but it's just weird that on a Chromebook if I open a new tab I basically leave the meeting and Visually leave the meat but I still hear everything and I can't go to that meeting without re-entering through that email link it does is it minimizes the meeting so it's small somewhere else on your green and his problem is probably a good thing you can't find it anywhere where would it be launcher it took me sometimes at the bot like at the bottom of my screen right now there's a little Zoom icon that keeps it alive you still with me I'm still with you got that it it disappears from the the whatever the window bar up top shows all the windows you have open right on but it's it's now down there all right to a different spot I'm going to get myself and try and follow your directions here Rachel I have an issue possibly I've been doing all of my things from my iPad because my school desktop does not have a microphone or a camera I'm still trying to do it your way and I went to zoom did all the things but then I signed in with Google but it wants me to create McDonald's can you see my I can can you get closer sorry old lady eyes yeah create account you're good so go ahead and create that account then yeah you're good to get just means you've never done this before should be thank you that's why we're doing it right now the Rachel do you think it's a bad but it says that it's my account is basic I do because it should be did you see what mine showed up as its I forget what the word is but I'm going to turn screen off star everybody real quick what it should say is licensed and so I would put in a quick text work order for Tim email to Tim that's a little as above my like technology that happens okay sorry about that behaving rent I think most of you are playing in checking things out in the back ground when you have successfully connected to zoom. Us and you're in with your no home or your lights are seen you in a place where like you're going to have to pause cuz you need to talk to Tim I want you to try going in participants and click the green yes button to tell me that yes I'm good I'm ready to move on and I'ma let you fumble a little bit to see if you can find out where that is against going to be in different places on your device maybe it is online and I'm texting Tim about non-teaching staff shouldn't they have a license mine is on basic 2 that's interesting Yes mine is well to Rachel well maybe that's it so I'm texting Tim right now and we'll see if he gets back to me over the course the meeting or not take me to say I was special but I'm not I'm basic to there was one step but I went through where I authenticated but I thought that was going to say the basic thing that was a couple days ago but that apparently has not been the fact that all of you and your Physicians are saying you're getting the same thing that makes me makes is Timothy on purpose or if he didn't so I've got I've got him on text we'll see what he says back if he gets back to me while we're meeting okay I see two green check marks but I think there's more that have successfully been able to get over to zoom. Us net lease get your basic account set up for the second time I'm going to move us forward and again if you got stuck and I can always show you how to do this again at the end okay but there's a lot to get through I'm skipping all this for right now and I'm going to go here Derek the number of places that you can schedule a zoom meeting and it's going to completely depend on your role and who is attending that Zoo for all of our teaching staff I just skipped those slides I can go text him if you want to see the insanity for a teaching staff we have let them know and it is really absolutely essential did they initiate every single Zoom invite from Synergy and they're doing that because when we initiate a zoom invitation inside of synergy synergy is connected to our students information and automatically tracked how long they're in that do and because we have some pretty specific requirements from the state on how we have to report out student attendance and participation and so we really have to realign our teachers using Synergy to create Zoom links even though you were just in the US you can totally make a meeting there are teachers can't do that if we're involving students that many some of you in this room are going to be scheduling meetings may be on Wednesdays to check in with students or maybe other days of the week to help with IEP she's turn your meetings and so if you are in fact going to schedule a meeting that includes making the high school students during the school day you need to use the energy and I'm going to show you how to do that and just I'll show you after that but I think it's the best second way to create Zoom meetings and that's going to be through Google Calendar if all you're doing is putting together a meeting that involves a couple staff members so you can sit down and talk about policy you do not need to go through Synergy so it really has to do with when we're bringing students together that we tie this to student contacts and interactions okay so what you going to do in order to do that in order to do that you're going to have to have access to Synergy so I apologize when we did this big session before Tim and I totally split our group and Tim took the people who could do one way and I took the people could do it another way and I'm going to have to walk all over you through both so just bear with me if you have a Synergy login because you have access to student information he sign in and I am I'm a non teacher right so I'm over on what they call the sis side student information system side of synergy there's also this little bell that could take me over to the Great Book portion of synergy if I needed it but I don't even have any kids over I'm not going that direction what you're going to want to feed ever made a bookmark in Synergy want to bookmark video meetings if you've not yet book smart but you can always search for eraser in the Quick Loan if I typed in video be right there and I'm going to watch it from there just to show you it's already there it defaulted there and the Beautiful Thing is with Synergy it has a what time is it at this is the last thing I was in that's where it defaults to coming back to the next time okay this is my meetings if I had any scheduled they would show up but I don't so we're going to put them right here and this generates this whole big thing so my topic is pretty important I've been encouraging all of our staff to start with the date the time or your name so that students can easily find these because students are getting a lot of meetings populating their StudentVue and it's going to help if they have some visual ways to sort through that information and we're the ones that they need our right to interrupt you but on my screen your Synergy screen is huge I can't can't even see the whole thing is there a way for me to get it so I can see what you're talking about try this Karen can you see it now it's a big white square that's on I think I might be on your end Karen so if you go can you hold Ctrl + - on your computer a couple times think you might need to zoom out 80% but you see anything this time I can see where it says organizer and join meeting at the top it looks like it's Rachel Watson show a Ohio secrets part of synergy screen yeah you're seeing mine sorry I was trying to find that wording that's in the upper right-hand corner that's where I'm at you should be able to see all the way over to the left it should say synergy at the very top and then an option underneath that can you see that all my screen has everybody's picture on the right and squares and then on the left hand side at has the Synergy page if you want Karen even minimize our pictures like my face you don't have to look at me right now anyway how do I do well on my computer if I cover my mouth over the top upper left-hand Corner buff my picture I have a little minimize like a minus button cuz I have three dots Square cover over your your picture oh yeah that's okay how about right above that nothing the video when I click on it yeah Sharon it's really hard for me to be able to help cuz I can't see what you're seeing and a screen share won't work right now because yeah what you're seeing is what I'm sharing ball just try to follow sorry and the good news is that the way that Zoom records and if you go back and look at this you will be able to see what I'm seeing on my screen and my little face will be just up in the upper right hand corner out of sorry about that if I was next to you gosh darn it I can help you fix that I need to schedule with students I just click on this button in the top middle ish that says schedule meeting imma make that topic the date like I just said not to make it for today cuz I might invite you all just so you could see what that looks like I'm going to make it for this is the start time that doesn't mean you can't get into the meeting a few minutes early doesn't matter and in this is your duration so I'm going to call this one the zoom teaching session in 15 minutes about if I can adjust all those things right here if you are scheduling a meeting where students are participating which is why you'd be in here I highly recommend that you underestimate your generation because what can potentially happen is it there is a view that students can see where all their meetings show up kind of like a Google Calendar and if you schedule your meeting over what time were there actually supposed to be somewhere else I'll show overlap which could be potentially pretty confusing for a kids so we're just encouraging people to so I'll follow suit underestimate on duration you can always stay in the meeting longer this is just kind of preformed any proof running that for you okay so descendants just like she's going to send this to you click in the empty to square and if you can see my screen you can see that I have a lot of options right across the middle of here staff would be anybody in the teaching staff or actually sorry rewind staff is anybody who has a nohum Gmail account you can also talk to parents if you need to invite parents you can do it here you can buy individual students and if you needed to you could invite classes worth of students I'm thinking eventually keoki for you for exam you could absolutely create a contact list that was all your football players for example or if you have a group of people that you constantly want to schedule some kind of like a student group 4 you might create a contact list with those students in it so you don't have to individually select them every time but just to show you what that looks like I'm going to go ahead and search keoki and you notice that it does that so don't you could just scroll through all the way down to K but I can do this when I click his name he shows up right there in my to group if I accidentally didn't want to I'm email keoki bring my cutie I can just close it right there Steamworks for students pool FC she should be in here all right all the burbank's this morning or this afternoon so I can talk to you later. With single students example I wanted to invite cool on me and everybody in mr. Solomon's Auto to class I can at all those the really tricky stop classes in case you ever use this is this little button with check parents not unless you and all the parents there if I left that I'm checked it would send an invitation to both my students and my pay friends to join that Zoo so that's when you want to do like to go back to the football example for some kind of parent information that you could you can invite everybody in the same place this drawers out of synergy so it's trying whatever e the parents put on the registration packet up to date or not is another story. being my guinea pig even I didn't ask you if he I'm going to send a meeting request so that you can see if he's going to kick me over to zoom like I'm not authorized and you'll have to do that the first time that you make a meeting I hate that does this I don't want no cancel so I don't know why over to my meetings and see if my upcoming meeting West turn a great question it's my pleasure meeting with sister Burbank I'll play on the zoom and a little bit later I think I need to log out and log back in no cancel okay meetings if I were to log into my Synergy account I have the date the time the duration the name of it who is organizing and I have a link to start meeting now I will show you how that works but work in a zoom meeting right now you can't resume inside a zoom if I clicked that it would close this meeting and I'd go over there with the meetings I could absolutely access them from right here I believe it's on a deleted meeting I don't know where I do it in here we're not going to worry about that one previous means to be things I have scheduled before look at all those test practice trying to set up all of the things so you can see me before means you have upcoming and you can use this to join those meetings you don't even have to go over to zoom so that's how you create schedule a zoom meeting if you need students to attend a far simpler way and some of you will be happy to hear this news is just to use Google Calendar if I'm not inviting students to a meeting and I just need to meet with some colleagues or maybe it's just a parent I'm doing it in calendar my favorite place to do it anyway and so the way to do that you should never done that before is it go ahead and click right here anytime is going to default where you click you can always change it give me the title I can adjust my time we're not going to meet at 8 on Saturday morning I plan to be asleep but whatever the perk here on Google Calendar initiation of Zoom meetings is that it doesn't matter how to invite people who are outside of our domain if your because I know some of your thinking like why don't you just do everything through synergy because if you for sample need to invite a staff member from the Humboldt County Office of Ed the only people you can email and send invites to from Synergy our students staff and then parent emails that are in our system already so if you need to invite people outside of our domain you do it here so again he's going to delete a bunch of stuff for me and I'm going to make him cookies but I can put as many people here as I need to to send them information and you have two options with him I already have them linked to my Google Calendar so you can see down here in the corner I have the option to make it a zoom meeting and if I was done with my time and my invitees I did absolutely just say make it a zoom meeting and it would say that I would be done if I need to put more information or if you haven't linked all that up yet you can go to zoom meeting like that it's going to take it just a moment and notice to create a zoom meeting code there's a number for people to dial in case they need to do it on their phone and then I can click save it's always going to give me this option I usually say spend because usually when I'm creating a meeting and I'm putting invitees there they want the email that ask them are they going to attend they can RSVP but in this case I'm going to say don't send cuz I don't need QB to have another piece of email in his inbox and I'm going to delete this anyway don't send any notice that it shows up right here on my calendar if I forgot that actually someone else needs to be at that meeting I can click on it and edit and add another person so I could Darcy from sample to the meeting invite and then if I could save it says Hey calendar invite guests do you want me to send an email and I say no again but I just want to show you the can always go in and edit what you've created here the other really kind of cool thing is that if you needed to just say you didn't want to do another invite you can just get your fingers on the zoom meeting link by right clicking on that and copying the link address and putting it into a document if you needed to look at the top of an agenda or an email to other people so they wouldn't even have to access calendar to get the link to your meeting and that'll work I'll take them still live meeting okay. I feel like I'm out of fire hose and you're call trying to drink from it potentially and so just to reiterate there's basically two ways that you can create a schedule a meeting if it's going to be with you do it first energy if it's going to be way anybody else you're going to do it through Google Calendar right here's where I give you a moment to take a break myself included so if you've got a meeting that's coming up go ahead and make an attempt at scheduling that in the place where you need to do so if you don't have one coming up you might just go play in Google Calendar for a moment and just practice making a fake one like I did and then once you've done that I do hereby like almost insist that you stand up that you stretch that you grab yourself something to drink and then ignore that time cuz that's not right cashier at exactly so we'll have a 12 minute break for you to play a little bit and stretch and walk a little bit and then we'll come back to this meeting already so she asked for practice scheduling a zoom meeting in the platform that you will use the most fair in Love and War I couldn't schedule a zoom meeting through Synergy cuz we were basic elmiron no you should be able to yeah I don't know it was linked to my personal account but I have done it through Synergy without having a straightened out yet okay I think that's your answer Karen so I think you care center G yeah I think I missed some of the first part about how to get to it through Synergy with my screen was not it's still large but I'm able to move it around and see what you're talking about it's kind of tricky I don't blame you took me I took me awhile to figure out this new computer that I have so I'm still screen sharing with you the way I got here to be able to schedule a meeting unless you already have video meanings smart you're just going to go to that quick lunch at the top Karen and Synergy I've been video and two option should come up video meetings or video meetings admin you don't want the admin part just go to video meetings okay and then you should have a button in the middle at the top that says schedule a meeting in blue okay and then you get a chance and I honestly I feel like we're a little mini Community here so you can see names in the participants list these are great people or just send me an invite I don't care I know how to delete all those things in case there sing a song to practice on potassium to answer your question your first question the chat and then you can ask me once okay and I'm texting him cuz he got back to me welcome back Rachel quick question I'm not using Synergy cuz I don't have a sitter the account and I don't know if I'll ever need one I sure hope not I just did the started meeting link from the Google Zoom window and I followed the directions I chose it it automatically to the 2 start time in a 1 hour I said okay okay now it's it's come up with a window that says your meeting should start in a few second you know and it's been more than a few seconds I'm curious if it just stays there Joel 2 and then something changes because that's when the meeting supposed to start what it's doing it's doing that wrong because what it's my understanding is it's trying to open a second Zoom meeting but it can't cuz you're in this one I thought about that but I'm like roast a different tab you know what I'm saying like I'm I'm keeping this Zoom meeting open but minimizing it and trying to open yet there's a meeting in a new tab no I've never had and I have a pretty robust windows-based like my own personal computer I'm working off today and I have never been able to open two zooms on one computer I need when I have had I have needed to have to zooms open before and I do it on two separate so different you know playing with it on a how to Chromebook to see what's different this meeting and just see what happens to that window changes automatically Rachel can you hear me I can hear you but I can't tell who's talking it's Karen and Karen so I went through Synergy and I did the video video meeting and I scheduled the meeting and I was schedule it with you and I clicked on staff okay and then at the top part is that we're supposed to start to put your name to get it to come up no you should have that chart down at the bottom so here's my screen so when you go to not up here Karen but down here I'm a delete keoki's name it defaulted I'll be descriptive very top it says to all by itself and then there's an empty boxes to select from list below below so if you want to invite me make sure you click on the purple little three people icon that says staff right and then if you put your cursor next to that little magnifying glass you can start typing my name in okay right there okay and then instead of scrolling all the way down to the artist with stressing his loss of staff I should it should show up as an option right there click my name well I took are there a magnifying glass and a list comes up that says contains does not contain starts with a ends with equals NCAA top 10 I see Julie Venom's name okay this is Alyssa comes up now I just have to scroll down that list shortcut just by going to the r Rachel yeah you can do that no yes so I did the Synergy cuz I need to play with that one and I went in and I tried to do staff yes Karen Kearns Goodwin is not in there okay bye reared Dawn mine Corby I don't know why it's not letting me pull her up and went through Karen you know what are in mac and carrying Sheehy Sheehy when it came up you know why so if Rick right in between where you can search the name and where it says staff does it say Arcata High oh okay so how would I you click on that there's a little like drop-down option and you should be able to like you might just want to stay District always so it'll default to District staff so then it'll have every one of them I didn't even think about that before I asked you it's okay now and I didn't think to show it to you because I so rarely attend to work just within my McKinley and that was my default so I haven't even actually ever talk. over so you taught me something I just automatically thought it had all the district site especially cuz you're coming in through Synergy and your focus in surgery when you came in was probably on that site so that it automatically pre-selected that okay even if I Synergy and I bookmark the video meeting not it's not highlighted it won't let me start a meeting through Synergy it seems I don't have access I asked him about that or that Nia Suzy question you can't click on video meeting I am on that screen you're on right now however where it says schedule a meeting that it's not highlighted it's like it's not it won't even let me click on it it's there but I can't click that's until I don't have access to Synergy either okay okay well I'll give him an email thank you you're welcome and I think you know part of this is also learning curve for us just getting all the people the right permissions you know I text him and he'll fix it for you okay then ignore that invite I sent you a name I just for practice and I've already killed that meeting so nice to hear your voice so I miss you okay and some of you I'm busy who are 1218 I don't think you're going to have access Just Energy you're just going to create meetings and or access is probably true Google Calendar and just so you know Rachel a lot of us as AIDS or some of us anyway are often designated one-on-one and yet we don't work what on one and other times were designated General 8th and we do work one-on-one most of our day. what's happening in the new times but I don't know how close you are to the special ed Department in terms of how really what's on paper isn't what we do often that's that's really good information Robin because I'm just in general and because I've been working with Gail today and yesterday to try to figure out the best system for making sure that our support staff can get asked to the meetings they need to be in and that's simple if we know which staff is going to be with with which students during which periods and it's far more complicated if that is essentially cheat so yep because teachers are initiating the zoom meeting invitations that they don't know who to invite they can't give people access in advance so we're working those Kinks out but that's it I have the info on the input can change any time a student is absent are we going to do we're going to figure that out okay I'm running it down really quick cuz that's a hey call Gail back and talk to Gail about support staff and how to best give you all access when you need it so I try to initiate Zoom meeting with you and Corby Rachel and Aaron probably because we're in a meeting right now okay and so it's not like I told Robin if you're currently in assume it's not going to let you start a second zoom on the same cuz I think that's what it is okay so I wanted to show you who was a long hair because I was hoping to get you all out at 2:30 I have to attend a staff meeting at 2:45 I want to walk you through kind of quickly just the basic how you you zoom and then in the kind of the same hand like how you might manage zoom in case you're the host cuz I know you all are going to serve kind of different roles and positions in the way this goes and the only way to show you that I wish I could share and show you my controls and manipulate them and move them but you can't do that so I have some screenshots for you and that's going to be the best that I can get you at the moment the waiting room was has basically created a waiting room and then the uncreated the waiting room so kids could get in Ethan totally control that and places so what are participants if you click on it if you did have students in the waiting room they would show up you can see over here on the right I can make this bigger sorry if I clicked on participants at the bottom and I CNA Zoom meeting the meeting it started and students were in the waiting room it's going to show up over here under participant but it also gives me this great little reminder pop-up button at the top at least of my Windows computer where I could click admit and this is one of those cases where I had to zooms actually at one point I had four and I'm going in the same room so that I could screenshot some participants were psychically that admit button and Rach meeting over here if I had let's say five or six students waiting in the in the waiting room there would be a button that said admit all and I could let them all in at the same time twice because yesterday's Zoom links were public which if you create your Zoom action not going to say that yours might be they might not be if they are people you don't know might come into that waiting room students who have renamed themselves really creative things up in your waiting room and so like I had to do in freshly yesterday Stone who came in with a mostly inappropriate name I removed they never made it into my meeting know the students other inappropriate name only I saw it and I gave him the boot and they never came back okay that's if you set up a waiting room if you didn't set your waiting room up in your settings where I showed you and zoom. Us there's this other little button down over here at the bottom of your Zoom toolbar that says security and there's an option pulled up on my screen and just read you the options I could lock the meeting which would be like if things got really gnarly I could completely lock this meeting down and it would be it would stop the meeting for all intents and purposes nobody myself included to do anything couldn't show their screen can't text can't chat can't show video anything like that it also gives me a bunch of morphine change permissions for my participant I can let right now anyone here could share their screen because I trust you and you're adults and sometimes it helps to show someone what you're looking at you all can chat also in another place limited that right you can unmute yourself would you been doing to ask questions and talk to me but if you were my students and I was trying maybe to get through some instructions and I keep you needed and not let you use your self there's a fun one where you can annotate shared content and that would mean that if you had a sophisticated enough computer and I have it in world right now if any of you would like to play and see what students can do if you look at your toolbar and you have an annotate tool go ahead and see if you can use it on my screen cuz you can some of you might be able to write pretty much whatever you wanted on my slide for everyone to see right now cuz I've let you do that he has to highlight you have to hover over your chill bar and look for annotate y'all being either you're all being really nice or you can't find your unit 8 tool and that's okay cuz it's kind of a sophisticated piece but if I needed I don't see anything that's a zoom toolbar and I haven't seen the word annotate it is definitely one of the tools and for students and teachers that if you're on a Chromebook you can't use so sorry you can't play that Cindy just drew a heart because she's sweet like that I drew an arrow to the security button where I allowed you the opportunity to draw but you can imagine that if we can do these nice things if you allow them to your students could do some not nice thing right heart actually yeah with the star in there now I know it's Texas that's a drawing in Texas but what I can the good news is if I accidentally give student permissions which I admittedly did on Monday I forgot to turn this off as your teacher I can come in and select Sundays hard as much as I like it and make it go away I can take all of her Pieces away I can get rid of that all you sassy people I can get rid of my own and then I can really quickly if I'm Savvy enough as a teacher I can hit security and now go ahead and all of you who tried who just annotated try to do it now you shouldn't be able to so Cindy and an all of you who were leaving me lovely notes on there you can't do now because I locked it down I took those permissions away for you because I don't love you but I just want to show you how so that's another thing you can manage down here through security do not have security you don't have if you're looking right now at your toolbar you're not seeing security because you're not the host okay only the host has those and I think media co-host if you designate a co-host your students cannot adjust those those are just for you is a hoe so that's why you're not seeing them right now but no matter what kind of a device you're on if you're those you should see security settings summer all right the other thing that some of you did a little while ago was you clicked on the participants button and then when that came up you had along the bottom hopefully some options you have yes which is a green check mark know which is a red X there's a button to ask your teacher to go slower one to ask him to go faster and really fun ones are under that little spree. Circle that says more you can clap give a thumbs-up or thumbs-down you can request a Break by putting the coffee mug on there every time I'm in a meeting with Tim I just put them on there or you can say that you're away from your enter clock next to it so it'll give you a chance to try to find those buttons cuz I think it's pretty important for you to understand where they are on your device and you can put whatever you want on there timer most of your figuring it out I use these for quick comprehension checks with kids or was staff if I wanted to say you know I could say right now all of you to click if you think I should go faster or go slower and I can see you are seeing all these things that I can see all the feedback you're getting me right here on my screen I also have the right as the as the host is it many of UFC like a hand raised if you thumbs up as he clapping I have this little button that I can't show you right now that says clear all because I'm the host and I can go like this and all of your marks disappear and you could start over again and I could ask a different question so if you're looking for a way to get nonverbal maybe feedback about how things are going you could totally use this tool with hue it's the best option for a hand in as a hand brace functional that okay so that's there so about that what are you called call that like if you if you were hosting a meeting in your encouraging people to you no use that bar the yes no slower or faster rates in desert is there a tech term for that bar of oxygen most people a I'm refer to it just as responses the response bar in participant this is my first time with you all if it was my first time of the classroom full of kids I would tell them good walking through a minute because they too are on a whole bunch of different devices they're trying to figure this out yeah okay sorry trying to remember where I was so meaning and removing participants which is sometimes the thing you need to be able to do in a meeting again if I click on participant stay pop up this was a big list right now I have all 12 of you plus Myself by I can mute and unmute any of your can you eat without your permission turning you back would be an ask so for example right now I'm going to go to Miss Amy and I just sent her request to unmute and soda she can unmute herself cuz I gave her permission but then I can go back in and I just needed her Mike I can turn her off anytime I want to get her to turn I need to request that the same is true for a video so soon as other video off you can't just automatically turn it on you have to request that of them and so you'll get that as an option when you hover over a student's name is a host if you click on more next to it next to a participant you get what you're seeing here on the screen and that's that request to start video I could make anybody in here at the house so I can transfer over to you and put you in charge I can make you a co-host I can rename you in case you've given yourself a name that's not appropriate or I need to rename you as our Note Taker for the day or something like that you're misbehaving a little bit I can boots you to the waiting room which is not completely kicking you out of meeting but it's forcing you to go wait in a place where maybe when I have a chance to pause can come over and talk to you before I let you come back Inn you can also completely remove a kid from a meeting right here by clicking remove and it gives you a promise like do you really want to kick him out you're like oh yeah I do and okay but those are pretty I even in and I had all of Mac has kids Monday and Tuesday I kicked out one kid so I wouldn't be too scared of them they're pretty good so you can remove them that way and you can meet them you can also mute them actually if you hover if you're the hosting you hover over someone's picture it'll pop up with automatic mute button and also three little dots they give you the same information that I just got that I got over there under participants okay alright the other things this is the fun part a question yes please so we'll you're talkin about removing a student or muting of those are all things that you see as the host we're Nazi Bratz cuz none of you were hosts right now when your I highly recommend like before you do this for real find yourself I mean I'm lucky enough to have a couple kids at home and I create resumes for 90 to try out something new and I have them give me a dollar if you got grandkids or friends or you know whoever it is that a round play open up a fake zoom and play with these things as a hose to learn where they are and how you turn them off and on if you do not want to learn that the first time you're in assume that would be insanity I practiced I practiced a lot to be able to navigate the things that I'm doing here as quickly as I am when I first start yes I was not as fast it was painfully slow these are really cool tools and zoom and they're also the ones that you have to be on a windows-based computer to use has been a lot of time here other than to say that right now what I'm doing as I am sharing my second screen that's why I keep looking over to my side over there because I have a big screen here with my PowerPoint and then I'm looking at you all right during the meeting which I feel like just should be detected we all have something you can advocate for if you don't have a second screen you might ask for one I can also and this is under share screen ahead of myself if you could share screen these options pop up again if you're on a windows-based computer if you click on a Chromebook you just get to share a tab or another window is cut pick into which is what I'm saying right now and then I'm going to stay really quick I'm going to get out of here are you awake or looks like cuz I can show you that life so instead of seeing my power you're now seeing close my chat and my view and Oates you're seeing a drawing where I could put in text and say hi everyone you've been great whatever I could priepot play if this was some kind of an image or a grass and then I could draw all over it with my drawing tools so you're seeing all this if we could have sure that kids could windows-based devices they could draw in this with us but that's just not going to be something we have access to this year can I guarantee that every kid's going to have a windows-based computer so they can't do that but I did hear somebody let's talk about so that's whiteboard that's that option that you kind of saw race here with that whiteboard the other thing that's really cool and I've been sharing this with some of you who might be put actually working from a windows-based computer at school that does not have a document camera or the webcam if I was at my computer workstation in my classroom there's a camera on that thing but they're work around I could use my share of an iPhone iPad and you're not seeing it on my screen that you're about to if I can find my phone sorry if I needed to I could totally show you what was on my phone including if I needed to use it as a camera I could show you like the here's my setup my lunch dishes sorry about that you're saying it like I'm seeing it right now but I could slip it and this could be my camera if I didn't have one on my computer so you can always connect this is an iPhone x really quickly you just have to do a quick set up every time you screen mirror or something like that and it's pretty simple dinner so sure your kitten photo you can share pictures or the or things that you have right there on your phone with students so I wanted to show you that as an option and I'm not close that stop mirroring it's my fault not my son's fault and it works for an iPad I'm so if you had a stylist and an iPad you could share with on your iPad and you could write right there so kids could see it I work for sound also yes if I had played music off my phone you would have heard the music coming from my phone so I can share whatever I mean you guys could have looked at all my apps anything that's on my phone I couldn't here in the zoom so that's how difficult was I guess I wasn't as a hard to do so I'm sharing my PowerPoint slides with you again I'm and what I did to do that was I click share screen at the bottom middle of my screen and then I selected this screen to cuz I showed you have two screens going and then up Pops this PowerPoint that's on that screen the way I did for my phone is I selected phone then you have to swipe up from the bottom to get like that is one we can access the timer on your flashlight in the calculator and all the things in one place and there's an option there for screen mirroring and when I click screen mirroring the zoom pops up it's pretty slick that's only for iPhone and iPad you can't do that right now Android not to my knowledge that would have been so much easier for me sorry you know you might if if that's something that you think you might want to use instead of like a camera I might ask Tim if there's any iPad sitting around there might be worth asking the other thing that will work is I don't have it set up this way right now and I didn't want to check the screenshot if I had one of the old doc camera's plugged into my computer it would also show up as a screen share option and there are tons of those laying around if you need an old document camera I think honestly if you just look them up you could probably use them as a webcam good to know all these fun tools okay lastly and then we're getting really close to time and I'm sorry I think I've gone a little too slow or taking time places where I shouldn't have I'm is the chat options and I talked about that before I'm over down here corn if you're the host there's the three little buttons you can see on that screenshot and if I were to click that it gives me three options for chat no nobody can chat with host was just means that you all can chat with me for everyone which means you can all chat amongst yourselves and that's true for students to and you can change that yeah and for this meeting am I right you set it up with that second option where we can only chat with you that's the way I started it let's see where it is or not I don't even remember honestly my settings are currently at post only but I'll adjust them right now and now you all can chat with one another if you wanted to Rachel I was in one of those Tuesday meetings with a lot of students and we were having trouble and so is it it cannot be set up so the co-host can see the chat cuz it was hard because the host was busy the couples should be able to see the chat when I co-hosted so when I hosted on those meetings with Susie Gail was Susie especially I was supposed to do was the co-host and both of us I had it turned onto can chat with host only both Susie and I were able to see the chat okay cuz we had a we had a situation and it could be that the students were chatting to specific people but it wasn't yet I was it ended up being default to the main host yeah and you Chino right now to only going Robin NFL is about to point out Robin just said it seems to only be going to me privately you're right because if you go to the to the last person who I chatted with to be my default and right now that's a Darcy private but if I click on Darcy's name without little down carrot I can switch it to everyone and then I can say hi and all of you get that message not just RC so you can shift it right there but this is the danger of chat if I wanted to privately chat to keokee he and I could have a whole side conversation forest and my teacher would never be the wiser if everybody has access to chat so I would not give if that off until this particular meeting cuz I'm still getting the privately only option when I'm trying to chat it's everyone publicly did you try that is there a drop-down next to my name Nickelodeon you have to change it to everyone aha whoever you chatted with last time yeah learning what the kids are doing is sometimes helpful and like I said honestly I I started my meetings yesterday with no one can chat and it's a very end and we were doing Q&A I opened it up to host only I never with a hundred kids I never let them chat with each other baby I'm a control freak I'm trying to think of how things could have gone better the other day and I'm very interested in the security button so is that just kind of like a paw sword the security button is where you have the controls to I'll read those for you again really quick you can walk the meeting you can allow or disallow participants to share their screenshot unmute themselves and so it's it's a place inside the meeting to kind of adjust your settings so when students were taking over with you know inappropriate comments whatever day you could lock the meeting while you just kind of got your settings together changes okay I wish I'd been there to support you all is what I would have done in a situation if it was kind of rolling out of hand I would have lost a meeting and while I kept the kids out I would just my settings down to nobody can do anything and then I would unlock the meeting and talk to you talk to you all the precious why did why did and what the new permissions are for sure okay thank you you're welcome to and that's the hardware all learning how to use this. Yeah you will end it was that being like a little bit lower than the quick you're good at that you told me me go ahead okay so when students were kind of speaking out one of the counselors was really good at knowing who was doing that are being able to mute but that rise to the top of the underneath the host the person whose microphone is being active you know somebody asked me that the other day and I don't think so I don't think that's true I would like scrolling madly trying to figure out who to shut down and you know it just wasn't obvious to me how do that the guilty party I'm going to switch your view and it might be it's going to look a little confusing for a second for all of you just to show you something what you're seeing now is what I'm seeing which is my home screen and all of your still cuz y'all have your cameras off you can see in the lower left-hand corner of each that you have a mic off on this is where I could ask Corby to unmute if I wanted to I can also click over here and see I have some study is here where is if she turned on her video or her Mike I could turn her off right here but the trouble we ran into on Monday Tuesday Wednesday we had a hundred students in a meeting and you cannot see them all on one page so when you have a few less this can be a place especially if you're in a meeting where you could really quickly use these settings right here to control what they're saying or showing or artist and just for the record when I scroll to the bottom of my screen you don't you guys didn't just see my meeting controls Papa did you graphic of some smoke oh you don't see oh man this is why I screenshot everything sorry it's pretty stop computer what I'm seeing is a big grid with all of your all of your names and faces on it and unfortunately with screen share it's not showing alive meeting which is kind of lame now you're seeing my PowerPoint so Snapchat yep yeah here seeing my PowerPoint slides that's a big screenshot of an old one so I need to know what I'm going to do is I'm going to ask that if you would like a copy of this recording shoot me an email and if you have questions that I have answered will you please include those in the same email or as basically email me if you have a question and or if you want a copy of this recording and once it's done downloading I'll send it to you unfortunately have to go and help host the Mac High faculty meeting so I'm going to have to cut this short but if you email me then I'll send you the recording I'll send you my slides and then if you have any additional questions I can answer them all my best to answer in via email because time is limited today thank you Rachel I really appreciated this and I'll see you at the meeting thanks for coming everybody and thanks for putting up with my tech hiccups and Anna and all the things so I am in in just a moment that kicked out of his meetings on the closet so I will see you I'll see many of you over the max I cycle to meeting everybody thank you thank you course
